This privacy policy was completed on 21 February 2021 and only applies to https://nationalhmonetwork.com/. It doesn’t cover other services and transactions that we link to. External sites are not framed so the full URL is displayed and it is apparent you’re on a different site. These services have their own terms and conditions and privacy policies. If you go to another website from ours, for example to make bookings, you should read the privacy policy on that website to find out what it does with your information.

The type of personal information we collect

We currently collect and process the following information:

“Membership Data” information provided when you subscribe to membership on our website including your name, postal address, email address, information about your place of work, job title and work contact details, telephone number and your interest in HMOs.
“Event Registration Data” information provided by you when you register for one of our conferences or events (whether a member or not) which is used to create a delegate list for the event or conference.
“Billing Data” No payment information provided when you register for one of our conferences or events is collected or held by the Network, only by specialist third parties contracted, for example Eventbrite.

How we get the personal information and why we have it
Most of the personal information we process is provided to us directly by you when you subscribe to membership of the Network.

We also receive personal information indirectly, in the following scenarios:

The Network receives lists of delegates with associated information (but not billing information) from specialist third parties contracted to take bookings and payments for events, for example Eventbrite.

We use the information that you have given us in order to:
– maintain a membership database to keep a register of our members
– carry out membership email list management
– communicate with our members about our events
– communicate with non-members about our events they have booked

We may share this information with specialist third parties contracted to take bookings and payments for events, for example Eventbrite. We do not sell, gift or share any information with any commercial entities or for marketing use by anybody.

Under the General Data Protection Regulation (GDPR), the lawful basis we rely on for processing this information is we have a legitimate interest. The Network has a legitimate interest in maintaining a register of its members and coordinating and organizing events.

How we store your personal information

Your information is processed and stored by “Your IT Man Limited” on behalf of the HMO Network. This is subject to a controller agreement which is compliant with the GDPR.
Your information is stored in UK data centres only. – These hosting service providers ensure exceptional levels of security with access control, 24/7 monitoring and ISO 27001 certification.

We keep Membership Data for as long as an individual remains a member of the Network. You can withdraw from membership of the HMO Network at any time. If you withdraw from membership we will dispose of your information by deleting it from our databases.

We destroy Event Registration Data we hold after the event. This information is deleted once CPD certificates have been produced and sent to the attendees.

Your data protection rights

Under data protection law, you have rights including:

Your right of access – You have the right to ask us for copies of your personal information.
Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances.
Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.
Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.
Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.

We want to make sure that your personal information is accurate and up-to-date. You may ask us to correct or remove information you think is inaccurate.
